Google Classroom is the central hub of digital learning for most Indian schools on Google Workspace for Education. It is where teachers create and distribute assignments, where students submit work, where grades live and where Google Meet links for online classes are generated.

This guide is written for two audiences: school IT administrators setting up Google Classroom at the domain level, and teachers setting up their first class and using Classroom effectively.

It covers setup from scratch — no assumed prior knowledge.


What You Need Before You Start

Google Classroom is included in every Google Workspace for Education plan, including the free Fundamentals tier. You do not need a paid licence to use Google Classroom.

Before a teacher can set up a class:

If your school doesn't have Google Workspace for Education yet, contact Cloudfy Systems to get the domain set up. The Fundamentals tier is free for qualifying Indian educational institutions.


Part 1: Admin Console Setup (For IT Administrators)

Before teachers can use Classroom, an admin must verify it's enabled in your domain.

Step 1: Enable Google Classroom in Admin Console

  1. Log into admin.google.com with your Super Admin account
  2. Go to Apps → Additional Google Services → Classroom
  3. Confirm Classroom is set to ON for everyone (or at minimum, for the Teacher and Student OUs)
  4. If it was off, enable it and allow 15–30 minutes for propagation

Step 2: Set Teacher Permissions in Classroom Settings

In Admin Console, go to Apps → Additional Google Services → Classroom → Settings:

Who can create classes:

  • Set to Verified teachers only — prevents students from accidentally creating classes
  • Teachers get the "Teacher" role in Classroom; students get the "Student" role
  • You assign the Teacher role manually or through the Classroom settings

Guardian access (for parent visibility):

  • You can enable Guardian email summaries — parents receive weekly summaries of their child's assignments and missing work
  • Go to Classroom Settings → Guardian access → Enable
  • Guardians are then invited by teachers per class, or by the school admin via CSV

Class membership:

  • Default allows any user in the domain to join; for security, restrict to your school domain only

Step 3: Create Student Accounts

Students need @yourschool.edu.in accounts to use Classroom. Options:

Option A: Bulk upload via CSV

  • In Admin Console → Directory → Users → Download blank CSV
  • Fill in: First Name, Last Name, Email, Password, OU path (/Students/Class-6 etc)
  • Upload the completed CSV
  • For 500+ students, bulk CSV upload is the only practical approach

Option B: Manual creation

  • Admin Console → Directory → Users → Add new user
  • Suitable for small groups or individual additions

Option C: Google Workspace Directory Sync (GWDS)

  • For schools with existing student databases (ERP, SIS), sync via GWDS
  • Requires technical setup — ask your Cloudfy partner

Step 4: Assign Students to OUs

Place students in the correct Organisational Units (e.g., /Students/Class-6, /Students/Class-9). This controls:

  • Which device policies apply to their devices
  • Which apps are available to them
  • Which content filters apply during browsing

Part 2: Teacher Setup — Creating Your First Class

Once admin setup is complete, teachers can log in and create classes immediately.

Step 1: Access Google Classroom

  1. Log in with your school Gmail account (teacher@yourschool.edu.in)
  2. Go to classroom.google.com
  3. On first visit, Google asks: "Are you a teacher or student?" — select Teacher

Step 2: Create a Class

Click the + button (top right) → Create class

Fill in:

  • Class name — "Class 8A English" or "Grade 6 Mathematics"
  • Section — "Morning Batch" or "2026-27" (optional but helps with organization)
  • Subject — select from the dropdown
  • Room — classroom number (optional)

Click Create — your class is set up instantly.

What's auto-created when you make a class:

  • A shared Google Drive folder for the class (under your Drive)
  • A Google Calendar entry for class schedules
  • A unique class code for students to join

Step 3: Add Students

Method A: Share the Class Code (easiest)

  1. From the class, click People tab → see the class code at the top
  2. Share this code with students (write on the board, send via WhatsApp to parents, email)
  3. Students go to classroom.google.com → click +Join class → enter code

Method B: Invite students by email

  1. People tab → click the person+ icon
  2. Type student email addresses (or search your domain)
  3. Students receive an email invitation and join with one click

Method C: Import from Google Groups

  • If your IT admin has created Google Groups by class (class8a@yourschool.edu.in)
  • People tab → Invite students → Enter the group email
  • All members join automatically

Tip for Indian schools: For classes with 30–40 students, sharing the class code is the fastest method. Write the code on the whiteboard on the first day.

Step 4: Add Co-Teachers (Optional)

If a subject has multiple teachers (e.g., class teachers + subject teachers both using the same class):

  1. People tab → Invite teachers section → enter co-teacher's email
  2. Co-teachers get equal access to create, grade and manage assignments

Part 3: Creating and Assigning Work

This is where Classroom becomes the daily teaching tool.

Creating an Assignment

  1. From the Classwork tab → click + CreateAssignment

  2. Fill in:

    • Title — "Chapter 5 Questions" or "Factorisation Practice"
    • Instructions — what students need to do
    • Points — assign a mark value (or mark as "Ungraded")
    • Due date — set a date and time; Classroom sends automatic reminders
    • Topic — group assignments by unit or chapter (e.g., "Unit 3: Photosynthesis")
  3. Attach materials:

    • Google Drive file — link or copy of a Classroom-specific version
    • YouTube video link
    • Link to an external website (NCERT, Khan Academy)
    • Upload a PDF or image directly
  4. Assignment options:

    • Each student gets a copy — Classroom creates individual Google Docs for each student; they edit their own copy
    • View only — students can see but not edit the file
    • Students can edit file — shared collaborative document
  5. Click Assign (publish now) or Schedule (set a future date/time)

Collecting and Grading Submissions

  1. From the Classwork tab → click the assignment
  2. Student work panel shows: Assigned, Turned in, Late, Missing counts
  3. Click any student's name to view their submitted work
  4. Add a grade (number) in the grade field
  5. Add private comments for the student
  6. Click Return to send the grade back to the student

Tip: Students only see their grade after you click Return. You can grade all submissions first and return them all at once.

Using Rubrics

For subjective assignments (essays, projects):

  1. In the assignment creation screen → click Rubric
  2. Create criteria with score levels (e.g., Content: 4/3/2/1 with descriptions)
  3. When grading, click the rubric criteria for each student — Classroom calculates the total automatically

Part 4: Google Meet Integration with Classroom

For online or hybrid classes, Google Meet is built into Classroom.

Generate a Unique Class Meet Link

  1. In your class → top right → click the settings gear icon
  2. Under GeneralMeet → turn on Generate Meet link
  3. A permanent Meet link is created for this class — the same link is used for every online session

Share with students: The Meet link appears on the class stream for all enrolled students. Students click it when class starts.

Starting an Online Class

  1. From the class dashboard → click the Meet link (top of the stream)
  2. Google Meet opens — you're the host
  3. Students join by clicking the same link from their Classroom stream or the People tab
  4. Host controls: mute all, remove participants, screen share, record (if Workspace plan supports recording)

Tip for exam periods: You can disable the Meet link temporarily via class settings to prevent unauthorised meetings.

Scheduling Classes in Google Calendar

Classroom automatically creates a shared calendar for each class. Schedule recurring classes:

  1. Open the class → click the Google Calendar icon in the settings
  2. Create a recurring event (Monday/Wednesday/Friday 9:00–10:00)
  3. Add the Meet link to the event description
  4. Students with school accounts see the class schedule in their Calendar automatically

Part 5: Grades and Progress Tracking

Gradebook

Classroom has a built-in gradebook that aggregates all assignment grades for each student.

  1. From your class → Grades tab
  2. See all students as rows, all assignments as columns
  3. Click any cell to enter/edit a grade
  4. Export the gradebook as a CSV for your school's ERP or marksheet system

Setting overall grade calculation:

  • Go to class settings → Grading
  • Choose: No overall grade, Total points, Weighted by category
  • Weighted categories let you set: "Formative = 20%, Summative = 80%"

Missing and Late Work

Classroom automatically flags:

  • Missing — student hasn't submitted by the due date
  • Late — submitted after the due date

Teachers see this in the assignment view. Students see a "Late" or "Missing" tag on their assignments.

You can set a late work penalty in assignment settings or handle it via your own policy.


Part 6: Best Practices for Indian Schools

Organise by Topic, Not by Week

Use Classroom Topics to group assignments by chapter or unit, not by week. Students can navigate to "Chapter 4: Acids and Bases" and see all related assignments and resources without scrolling through chronological posts.

Use Google Forms for Quick Assessments

Create a Google Form quiz, attach it as a Quiz Assignment in Classroom, and students' scores are automatically recorded. Forms supports:

  • Multiple choice (auto-graded)
  • Short answer (manually graded)
  • Shuffled questions (anti-copying measure)
  • Timer (via paid add-ons or Google Workspace Education Plus)

Class Templates

If your school has multiple sections of the same class (Class 6A, 6B, 6C all teaching the same curriculum), create one class, build all the assignments, then copy the class for each section. Saves rebuilding identical work.

Communicate via Announcements (Not Email)

Classroom Announcements are posted to the Stream and students see them immediately on login. For routine school communication (timetable changes, test reminders, resource links), Announcements are faster and more visible than email for students.

Year-End: Archive, Don't Delete

At the end of the academic year, archive classes (don't delete them). Archived classes are accessible for 1 year — students can review their work, teachers can reuse materials. After archiving, student accounts can be migrated to the next OU (Class 7 from Class 6).

Frequently Asked Questions

Is Google Classroom free for Indian schools?

Yes. Google Classroom is included in every Google Workspace for Education plan, including the free Fundamentals tier. Schools with verified educational institution status can use Google Classroom at no cost. Advanced features like originality reports, advanced gradebook and practice sets require paid tiers.

Can students use Google Classroom without a school email?

No. Students must have a Google Workspace for Education account (@yourschool.edu.in) to join a class that is managed by your school domain. They cannot join with personal Gmail. This is a security and DPDP compliance feature — student data stays within your school's managed domain.

Does Google Classroom work offline on Chromebooks?

Google Classroom itself requires internet to load, but students can access offline-enabled assignments if Google Drive offline mode is set up. Docs, Sheets and Slides documents can be set to offline mode — students open and edit them offline, and changes sync when they reconnect. This requires setup via Admin Console's Google Drive offline settings.

Can parents see their children's work in Google Classroom?

Parents can be added as guardians in Classroom. Guardians receive automated weekly email summaries showing their child's upcoming assignments and any missing or late work. Guardians can't log into Classroom directly — they only receive summary emails. The IT admin or teacher must enable guardian access in Admin Console settings.

How many students can be in one Google Classroom class?

Google Workspace for Education supports up to 1,000 students per class and up to 20 teachers per class. For most Indian school sections (30–50 students), there are no practical limits. A teacher can have up to 250 classes simultaneously.

What is the difference between Google Classroom and Google Meet?

Google Classroom is the learning management system — assignments, submissions, grades, resources, communication. Google Meet is the video conferencing tool — live online classes, face-to-face interaction. They are integrated: a permanent Meet link lives inside each Classroom class. Most teachers use both together: Classroom for asynchronous work and Meet for live teaching sessions.
