Zoom Phone is Zoom's cloud PBX — it replaces traditional on-premise EPABX and hosted VoIP systems with a fully cloud-managed calling solution that is natively integrated with Zoom Meetings. In India, Zoom Phone provides local DID numbers (geographic and non-geographic), unlimited domestic calling, call routing, IVR, call queues, and voicemail-to-email — all managed from the same Zoom Admin portal as your video meetings.

This guide covers the complete technical setup for Zoom Phone in India, from licence activation to DID provisioning, IVR configuration, call routing, SSO integration, and admin security hardening.


Zoom Phone Licence Tiers

Before setup, confirm your Zoom Phone licence:

Zoom Phone — standalone add-on: Can be added to any Zoom Workplace plan (Pro, Business, Business Plus, Enterprise). Priced per user per month. Includes local DID number, unlimited domestic India calling, basic call features.

Business Plus — Zoom Phone bundled: Zoom Business Plus includes Zoom Phone for every user in the account — the most cost-effective way to get Zoom Phone if your whole organisation needs calling.

Zoom Phone Power Pack: Optional add-on providing advanced call analytics, call supervisor features, and extended contact centre-lite capabilities.

Licences are provisioned by Cloudfy — confirm your licence count and tier before beginning setup.


Part 1 — Initial Zoom Phone Activation

Step 1 — Enable Zoom Phone in Admin Portal

  1. Log in to admin.zoom.us with Global Admin credentials
  2. Navigate to Phone System → Getting Started
  3. Select your country: India
  4. Select your calling plan type:
    • Unlimited Calling Plan — flat rate, unlimited domestic India calls
    • Metered Calling Plan — pay per minute (typically used for low-volume users or international-only callers)
  5. Click Enable Zoom Phone

Zoom Phone is now activated for your account. The Phone System menu expands with options for Numbers, Users, Auto Receptionists, Call Queues, and more.

Step 2 — Emergency Calling Registration

Indian telecom regulations require emergency calling (100, 101, 102, 112) to be registered to a physical address. In Zoom Phone:

  1. Navigate to Phone System → Emergency Addresses
  2. Add your primary office address (building number, street, city, state, pincode)
  3. This address is associated with your primary location for emergency call routing

For multi-site deployments (multiple offices), add a separate emergency address for each physical location.


Part 2 — DID Number Provisioning

Step 3 — Order Indian DID Numbers

Indian DID numbers in Zoom Phone are ordered through Zoom's licensed telco partners. Cloudfy handles this as part of Zoom Phone deployment.

Number types available in India:

  • Geographic DIDs (landline numbers): 10-digit numbers with city STD code (Delhi: 011, Mumbai: 022, Bengaluru: 080, Hyderabad: 040, etc.)
  • Non-geographic DIDs: 10-digit mobile-range numbers (starting with 9x or 8x) — useful if you want a single number not tied to a city
  • Toll-free (1800 series): Available for contact centre and support use cases

Number availability varies by city and carrier. When requesting through Cloudfy:

  • Specify required city/area code (for geographic numbers)
  • Specify quantity (one per user, plus spare numbers for auto-receptionists)
  • Specify any preferences (contiguous number blocks for offices)

Numbers are typically provisioned within 2–5 business days for new orders.

Step 4 — Port Existing Numbers (If Applicable)

If your organisation has existing landline or DID numbers from a traditional EPABX or VoIP provider, you can port them to Zoom Phone.

Indian number porting process:

  1. Obtain LOA (Letter of Authorisation) — Zoom's porting form authorising the transfer from your existing provider
  2. Gather current carrier details: Carrier name, account number, service address, existing DID numbers to port
  3. Submit porting request through Cloudfy — we submit to Zoom's porting team on your behalf
  4. Porting timeline: 5–15 business days for India geographic numbers; longer for toll-free numbers

During porting, your existing numbers remain active on the old provider until the port completes — no service gap.

Step 5 — Assign Numbers to Zoom Phone Users

Once numbers are provisioned:

  1. In Zoom Admin Portal → Phone System → Users
  2. Click on a user → Phone Numbers → Assign
  3. Select an available DID from your provisioned pool
  4. Each user typically gets one DID assigned; shared-line or front-desk users may have additional numbers

For users who do not need an external DID (internal-only extension users), you can assign an internal extension number only — this costs less as no DID licence is consumed.


Part 3 — Auto Receptionist (IVR) Setup

The Auto Receptionist is Zoom Phone's IVR — it answers inbound calls on your main company number and routes callers to the right destination via a menu or direct routing.

Step 6 — Create Your Auto Receptionist

  1. Navigate to Phone System → Auto Receptionists → Add
  2. Name: e.g., "Main Reception" or "Company Name Auto Attendant"
  3. Assign a DID number to the Auto Receptionist — this is your main company inbound number
  4. Set Business Hours: define your working days and hours (e.g., Monday–Saturday 9:00 AM – 6:30 PM IST)
  5. Set Closed Hours / Holiday Hours: define what happens outside business hours

Step 7 — Record or Upload the Greeting

In Auto Receptionist → Greeting:

  • Text-to-Speech: Type the greeting text and select a voice — Zoom generates audio automatically. Convenient but sounds synthetic.
  • Upload Audio File: Record a professional greeting (MP3 or WAV, 16-bit, 16 kHz) and upload. This sounds more professional.

Greeting example:

"Thank you for calling [Company Name]. For sales, press 1. For support, press 2. For billing, press 3. To speak with reception, press 0. To leave a message, press 9."

Step 8 — Configure the IVR Menu

In Auto Receptionist → Key Assignments:

For each key (0–9) pressed by the caller, define the destination:

  • Forward to User — rings a specific user's Zoom Phone

  • Forward to Sub-Menu — nested IVR for multi-level menus
  • Forward to another Auto Receptionist — multi-site routing

Step 9 — Configure After-Hours Routing

In Auto Receptionist → After Hours / Closed Hours:

  • Select action: forward to voicemail, play a custom message, forward to an external number (e.g., an on-call mobile)
  • Upload a closed-hours greeting: "Thank you for calling [Company Name]. Our office hours are Monday to Saturday, 9 AM to 6:30 PM. Please leave a message and we will call you back on the next business day."

Part 4 — Call Queues

Call Queues distribute inbound calls across a group of agents — useful for sales, support, or front desk where multiple staff answer the same line.

Step 10 — Create a Call Queue

  1. Navigate to Phone System → Call Queues → Add
  2. Name: e.g., "Sales Team" or "Customer Support"
  3. Assign a DID number to the Call Queue (or forward from Auto Receptionist key)
  4. Add members: Add the Zoom Phone users who will be agents in this queue

Step 11 — Configure Queue Settings

Routing method:

  • Rotating: Calls are distributed round-robin across available agents — each agent gets an equal share
  • Simultaneous: All agents' phones ring at the same time — first to answer gets the call (hunt group style)
  • Sequential (Fixed Order): Agents ring in a defined order — useful for primary/backup reception

Maximum wait time: How long a caller waits in queue before an overflow action is taken (e.g., 90 seconds)

Overflow action: What happens when wait time is exceeded or no agents are available:

  • Forward to voicemail
  • Forward to another user or queue
  • Play a message and disconnect

Queue greeting: Optional message played when caller enters the queue ("Your call is important to us. Please hold...")

Music on hold: Upload an MP3 file for hold music or use Zoom's default hold music.

Wrap-up time: Time after a call ends before the agent is available for the next call — useful for support teams who need to write notes.


Part 5 — SSO and Directory Integration

Step 12 — Configure SSO for Zoom Phone Users

If your organisation uses SSO (required for Business plan, available for Pro), Zoom Phone users authenticate via SSO — they do not need a separate Zoom Phone password.

SSO configuration covers the entire Zoom account including Phone features. If SSO is already configured for Zoom Meetings (see Zoom Migration Guide), Zoom Phone users automatically sign in via SSO.

For provisioning Zoom Phone licences via SSO:

  1. In your IdP (Azure AD, Okta, Google Workspace), create a user group for Zoom Phone users
  2. In Zoom Admin → User Management → Groups, map this IdP group to a Zoom group with Zoom Phone permissions
  3. Users in this IdP group are automatically provisioned a Zoom Phone licence on first SSO login

Step 13 — Sync Corporate Directory

Zoom Phone can sync your corporate directory so users can search and call colleagues by name rather than extension number.

For Azure AD / Okta / LDAP sync:

  1. In Zoom Admin → Phone System → Company Directory
  2. Connect your directory via the configured SCIM or directory sync integration
  3. Colleagues appear in the Zoom Phone dialpad search

This means a user can type "Priya Sharma" in Zoom and see her extension, mobile, and email — and call her internal extension directly.


Part 6 — Admin Security and Hardening

Step 14 — Configure Call Recording Policies

In Phone System → Account Settings → Recording:

  • Enable call recording: Yes
  • Who can record: Admins only, or allow users to initiate recording
  • Automatic recording: Enable for all calls, or specific queues only
  • Recording consent notification: Enable — an announcement tells callers "this call may be recorded" (legally required for India)
  • Recording storage: Cloud (Zoom) or local
  • Retention period: Set automatic deletion after N days matching your data retention policy

Step 15 — Set Call Authentication Policies

In Phone System → Account Settings → Security:

  • Block anonymous calls: Enable — prevents unidentified callers from reaching extensions directly (reduces spam)
  • Block calls from specific countries: Optional — restrict inbound international calls from countries you don't operate in
  • Emergency calling alerts: Enable — admins receive an email when a user places a 100/112 emergency call from Zoom Phone

Step 16 — Configure Voicemail Transcription

Zoom Phone includes voicemail transcription — voice messages are transcribed to text and delivered to the user's email.

In Phone System → Account Settings → Voicemail:

  • Enable voicemail transcription: Yes
  • Email voicemail transcription to: User's work email
  • Include audio attachment: Yes (MP3 of the voicemail alongside the text)

Users receive an email: "New voicemail from +91 98765 43210: [transcribed text]" — they can read the voicemail without listening to it.

Step 17 — Configure Admin Monitoring and Alerts

In Zoom Admin → Account Management → Alerts: Set up alerts for:

  • Call queue service level falling below threshold (e.g., fewer than 80% of calls answered within 30 seconds)
  • Call volume spikes or drops
  • Specific users or queues experiencing elevated call failures
  • Users offline (Zoom Phone app not registered)

Part 7 — Zoom Phone Desktop App Configuration

Step 18 — Deploy Zoom App to All Devices

Zoom Phone is part of the Zoom desktop app — no separate installation required. Users who have the Zoom app already installed gain access to the Phone tab automatically once their Zoom Phone licence is assigned.

For managed Windows devices (via Group Policy or MECM): Deploy the Zoom MSI installer with Zoom Phone enabled. Ensure the app is set to launch at startup (configure via Group Policy or Zoom's MSI deployment switches).

For managed Mac devices (via Jamf or Intune): Deploy the Zoom PKG file via your MDM. Configure Login Item to start Zoom at login.

For BYOD and mobile: Users install the Zoom app from the App Store or Play Store and sign in with their corporate SSO credentials. Zoom Phone features are available immediately after sign-in if their account has a Phone licence.

Step 19 — Configure the Zoom Phone Tab for Users

When users open Zoom → Phone tab, they see their:

  • DID number and extension
  • Dial pad for outbound calls
  • Recent calls list
  • Voicemail inbox with transcriptions
  • Contacts directory (synced from corporate directory)

Instruct users on:

  • Making calls: Type a name or number in the dialpad search, or use the numeric keypad
  • Receiving calls: Zoom app must be running; calls ring like a normal phone call on the desktop
  • Transferring calls: Blind transfer (send to another extension without announcing) or warm transfer (speak to the recipient first, then transfer)
  • Park and retrieve: Put a call on a shared parking slot that any team member can pick up from their device

Post-Setup Validation Checklist

Complete these checks within 24 hours of setup:

Inbound:

  • Call your main company number from an external mobile — auto receptionist answers with correct greeting
  • Press each IVR key — confirm routing to correct destination
  • Call outside business hours — confirm closed-hours greeting and routing
  • Call a queue — confirm agents' phones ring and call can be answered

Outbound:

  • Make an outbound call from Zoom desktop app — confirm outbound caller ID shows your company DID
  • Make a call to a mobile number
  • Make a call to a landline number
  • Confirm call recording is working (check admin portal after a test call)

Voicemail:

  • Call your DID from an external number and leave a voicemail
  • Confirm voicemail transcription email arrives within 2–5 minutes
  • Check voicemail is accessible in Zoom Phone tab

Transfer:

  • Test blind transfer between two internal users
  • Test warm transfer between two internal users

Admin:

  • Zoom Admin → Phone System → Calls shows recent call records
  • Call quality metrics are populating in the Phone System dashboard
  • Emergency address is registered for all users

Frequently Asked Questions

Do Zoom Phone calls consume my Zoom Meeting minutes? No. Zoom Phone calling (PSTN calls to mobiles and landlines) is separate from Zoom Meetings. The Unlimited Calling Plan covers India domestic calls at a flat rate with no per-minute charges. International calls are charged per minute at Zoom's published rates.

Can Zoom Phone receive calls on mobile when I'm not at my desk? Yes. The Zoom mobile app (iOS and Android) includes Zoom Phone — incoming calls ring on your desktop and mobile simultaneously. You can answer on either device and transfer between devices mid-call.

Can I use my existing desk phone hardware with Zoom Phone? Zoom Phone supports SIP desk phones from Poly, Yealink, Cisco (limited models), and AudioCodes via Zoom's Device Management programme. Compatible hardware must be provisioned through the Zoom Admin portal. Contact Cloudfy to verify compatibility for your specific desk phone models.

What happens to Zoom Phone calls during an internet outage? Zoom Phone provides Call Forward on Absence — configure a mobile number as fallback. If the Zoom app cannot reach Zoom's servers, incoming calls are forwarded to the configured mobile fallback number. This ensures no calls are missed during internet disruptions.

Can we have a single reception number that rings in multiple cities? Yes. Create a Call Queue with agents in different cities as members. Set routing to Simultaneous — the call rings all agents' Zoom apps regardless of their location. The first agent to answer takes the call. This is a common setup for Indian businesses with offices in multiple cities.

How many DID numbers do we need? At minimum, one number per user who needs to make and receive external calls. In addition, you typically need: one number for your Auto Receptionist (main company number), one per Call Queue that needs its own direct dial, and spare numbers for conference rooms if applicable.
