What Gets Migrated to Google Workspace

A complete email migration to Google Workspace moves the following data from your existing provider:

  • All emails in every mailbox — inbox, sent, drafts, folders, archives
  • Email attachments
  • Contacts and contact groups
  • Calendar events, recurring appointments and meeting invites

What does not migrate automatically:

  • Email rules and filters (need to be recreated in Gmail)
  • Custom email signatures (set up fresh in Gmail)

Which Email Providers Can Be Migrated to Google Workspace

Rediffmail Pro and Rediffmail Business

How Google Workspace Email Migration Works — Step by Step

Step 1: Google Workspace Account Setup

Before migration begins, your Google Workspace account is set up. This includes signing up for the right plan, verifying domain ownership by adding a TXT record to your DNS, and creating user accounts for every person who will be migrated.

At this stage, your domain's MX records are not changed. Email continues flowing to your existing provider exactly as before. Nothing changes for your users during this phase.

Step 2: Migration Configuration

Cloudfy Systems configures Google's Data Migration service — accessible from the Google Workspace Admin console — with your existing email provider's settings. For IMAP-based sources, this means the IMAP server hostname, port and security settings. For Microsoft 365, it means setting up the Exchange connection.

Each user's mailbox on the old system is mapped to their new Google Workspace account.

Step 3: Background Migration

The migration runs entirely in the background. Google's migration service connects to your old email server using IMAP or Exchange access and copies all emails, contacts and calendar events to each user's new Google Workspace account.

This process takes time — typically 24 to 72 hours for most businesses, depending on the number of mailboxes and total data volume. For businesses with large archives (multiple GB per mailbox), it can take longer.

During this entire period, your existing email continues to function normally. Users send and receive email from their old accounts. New emails arriving at the old server are picked up by the migration process and copied to Google Workspace as well.

Step 4: MX Record Cutover

Once the migration is at least 90% complete and verified, the MX record cutover is scheduled.

MX records are the DNS entries that tell the internet where to deliver email for your domain. Before the cutover, they point to your old email server. After the cutover, they point to Google's mail servers.

Before making this change, Cloudfy Systems reduces the TTL (time to live) on your existing MX records to 300 seconds (5 minutes). This ensures that once you publish the new MX records, they propagate globally within minutes rather than hours.

After the cutover, all new email flows directly to Google Workspace. Any emails that arrived at the old server in the last few minutes before propagation complete are captured by the migration process, which continues running for another 24–48 hours post-cutover.

Step 5: SPF, DKIM and DMARC Configuration

Immediately after the MX cutover, Cloudfy Systems configures three critical DNS records that determine whether your emails are trusted by recipient mail servers:

SPF (Sender Policy Framework) — tells the world which mail servers are authorised to send email from your domain. For Google Workspace, the SPF record is:

v=spf1 include:_spf.google.com ~all

This is added as a TXT record on your domain's root (@).

DKIM (DomainKeys Identified Mail) — adds a cryptographic signature to every outbound email, allowing recipient servers to verify the email genuinely came from your domain. The DKIM key is generated in the Google Workspace Admin console under Apps > Google Workspace > Gmail > Authenticate Email. The generated TXT record is published in your DNS.

DMARC (Domain-based Message Authentication, Reporting and Conformance) — tells recipient servers what to do with emails that fail SPF or DKIM checks. A standard starting DMARC policy for a newly migrated domain is:

v=DMARC1; p=none; rua=mailto:postmaster@yourdomain.com

Starting with p=none means you receive reports but no emails are blocked yet. Once you have reviewed a few weeks of DMARC reports and confirmed all legitimate email is passing, the policy is tightened to p=quarantine and eventually p=reject.

Without SPF, DKIM and DMARC properly configured, outbound emails from your new Google Workspace domain may land in recipients' spam folders or be rejected entirely — despite your email platform being Google. Cloudfy Systems configures all three as part of every migration.

Step 6: Verification and Sign-Off

After the cutover and DNS record setup, Cloudfy Systems verifies:

  • Inbound email is flowing correctly to Google Workspace

  • All user mailboxes have their historical email intact in Gmail

What happens to emails sent to my old address after cutover?

Once MX records point to Google, all new email goes directly to Google Workspace. Any emails that were in transit to the old server during the brief DNS propagation window are picked up by the migration process, which continues running post-cutover. No emails are missed.

Do users need to do anything during migration?
