How User Licences Work in Google Workspace
Google Workspace is licensed per user. Every person in your organisation who needs a company email address, access to Google Drive, Google Meet or any other Workspace tool requires one user licence.
When you initially purchase Google Workspace, you buy a set number of licences — for example, 10 licences for a 10-person team. As you hire new people, you purchase additional licences for each new user.
Your total annual cost scales with the number of licences: if you are on the Starter plan at ₹270/user/month and add 5 users to a 10-user account, your annual cost increases from ₹3,240 × 10 to ₹3,240 × 15.

Google Workspace plans have different maximum user counts.

Adding Users at Renewal
The simplest and cleanest time to add users is at renewal. Before the annual cycle begins, you increase your licence count, and the full year's subscription for all users — including the new ones — is covered in a single invoice.
If you know your team will grow in the coming year, adding the expected licences at renewal avoids mid-cycle pro-rated invoices and simplifies your accounting.
Adding Users Mid-Cycle (Pro-Rated Billing)
If you hire someone after your annual cycle has started, you need to add their licence immediately — you cannot wait until renewal. In this case, Google bills pro-rated for the new licence from the date it is added to the end of the current annual cycle.
Example: If you are 8 months into an annual cycle on the Starter plan (₹270/user/month) and add one new user, the pro-rated charge for the remaining 4 months is:
₹270 × 4 months = ₹1,080 + 18% GST = approximately ₹1,274 for that user to join the current cycle.
At the next annual renewal, all users — including the new one — renew together at the full annual rate.
How to Add Users — Reseller vs Direct
If You Manage Google Workspace Directly
Log into admin.google.com with your admin credentials. Navigate to Users and click "Add new user." Enter the new employee's name and desired email address. Google provisions the account immediately. Billing is automatically adjusted for the pro-rated amount and charged to your payment method on file.
This is straightforward technically, but comes with the same limitations as direct management: USD billing, no GST invoice and no local support.
If Your Google Workspace Is Managed by Cloudfy Systems

Creating the User Account vs Buying the Licence
There are two distinct steps when onboarding a new user to Google Workspace:
Step 1 — Licence purchase: An additional user licence must be bought and assigned to the new account. This is the billing step — handled by Cloudfy Systems in the reseller console.
Step 2 — Account creation: The user account is created in the Google Admin console with the employee's name, email address and password. The account can be created immediately once the licence is in place.

Removing Users — How It Affects Billing
When an employee leaves and you want to remove their user account, the process is the reverse of adding one.
The user account is suspended or deleted in the Google Admin console. Their email and Drive data can be transferred to another user or archived before deletion.
For billing: on annual commitment plans, removing a user mid-cycle does not result in an immediate refund for the remaining portion of the year. The licence credit is typically applied at the next renewal, reducing the licence count and cost for the new cycle.
This is why reviewing your user count at renewal time is important — it is the most efficient point to align your licence count with your actual headroom.

Plan limit check: If your team is at or near the 20-user limit on Base, we flag the plan upgrade requirement before proceeding. This avoids a situation where the licence cannot be added without a simultaneous plan change.
Renewal proximity: If your annual renewal is within 4 to 6 weeks, we advise whether adding mid-cycle or waiting to add at renewal is the more cost-effective approach for your specific situation.
Existing unused licences: Sometimes businesses have unused licences on the account — for example, from a previous employee whose account was suspended but not removed. If an available licence already exists, we assign it to the new user at no additional cost rather than purchasing a new one.
